After functioning at reduced capacity for the past two months, NHRMC is working through a phased reopening. Some service lines are still functioning at less than 100 percent of full capacity.
If a staff member is sent home for low census, please call Labor Pool at 910.667.2950 to see if there is an available assignment. If there is not an available assignment and the staff member has to be sent home, their hours will be topped up to meet their FTE. Please see the attached for guidance on how to handle this with both Kronos and WFM.
Payroll Instructions for COVID-Related Top-Up:
Definition: A top up of E OPS Home will be added to staff timecards by payroll for hours that a person is short of their FTE due to lack of work.
- Prescheduled PDO should be left on the time card/schedule.
- If a staff member refuses an assignment, PDON should be added to the time card
- Kronos Users – No edit or time entry is required by timekeepers for time that is missed due to lack of work.
- Do Not enter Punches on the time card or CENS, PDO or any other time code to compensate for time missed due to lack of work.
- ANSOS Users – To remove staff from the schedule for shifts or partial shifts that are canceled due to lack of work:
- Change the work shift to little s.
- Change the Cost Center to BIG F.
- Division should be A.
- Reason is EOPSHOME.
- Do Not enter Punches on the timecard or CENS, PDO or any other time code to compensate for time missed due to lack of work.
- WFM Users – In the ASV (Advanced Schedule View) use the code Master Book Off to remove staff from the schedule for shifts or partial shifts that are canceled due to lack of work.
- Do Not enter CENS, PDO or any other time code to compensate for time missed due to lack of work.
In all three cases above, Payroll will adjust time accordingly at the end of the pay period.
- Do not add PDO, Low Census or other time code to compensate for time missed due to lack of work.
- Do not add Punches to the employee’s timesheets.
- Do not cancel prescheduled PDO.
This will result in incorrect payment to the employee & incorrect cost accounting.
