Getting Reimbursed

In order to get reimbursed you need to complete the Tuition Reimbursement Request form. This was emailed to you when your Tuition Assistance Application was received and approved.  

Please note when submitting your form that we pay for tuition, exam fees, and books only. You may have a number of other fees included in your bill such as student fees, technology fees, exam fees, parking fees, taxes, shipping costs, etc. However, we only reimburse for tuition and books. You can often find your tuition cost per credit hour on your school's website. Please include this cost per credit hour when submitting your Tuition Assistance Application form.

Send your completed Tuition Reimbursement Request, along with book receipts (if applicable), your itemized bill, your syllabus (if requesting reimbursement for books), and a copy of your schedule or registration form. You are able receive your reimbursement in advance, or within 30 days of completion with approved documentation. You may submit the reimbursement request up to 30 days after you complete the course(s) or exam. (Please note, you still must have the course or exam approved prior to start of the course or exam by submitting the Tuition Assistance Application in advance.) You must complete all fields on the form and include all supporting documentation. Send information to:

Official grades and proof of payment must be submitted within 30 days from the completion date of the course and receipt of your final grade or you will be responsible for repaying any advancement. Reimbursement requests must be submitted within 30 days of course completion or your application will be closed and no longer eligible for reimbursement.

Failure to complete the course, or if you receive a grade of "C" for an undergraduate course, or a "B" for a graduate course will also require repayment. You must notify HR immediately if you withdraw or fail a course or exam. This amount will immediately be recouped from your paycheck.

Rentention Agreement

Participants must agree to remain at NHRMC for two years following reimbursement. If you terminate employment (either voluntary or involuntary) you will be required to repay the medical center as follows:

  • The full amount of tuition assistance paid to employee in any of the 12 months preceding their termination date and/or
  • Half of the full amount of tuition assistance paid to the employee in any of the 13-24 month period preceding their termination date.

Tuition Assistance benefits will be credited to the calendar year in which the course was completed.

Benefits will notify you by email when your reimbursement has been processed and when to expect the reimbursement / advancement in your scheduled paycheck.

Retention Agreement

By accepting Tuition Assistance, an employee expressly authorizes NHRMC to withhold an repayment amounts from any amounts owed to the employee (including, but not limited to the employee's paycheck or unused accrued PDO.) If the employee fails to make any required repayment and the Medical Center takes action to recover the repayment obligation, the employee agrees to pay the fees incurred by NHRMC in pursuing recovery.

This service payback requirement is not an employment contract and does not obligate NHRMC to provide continued employment to any person.

Taxability

Tuition Assistance is considered taxable income for undergraduate and graduate programs in excess of $5,250 annually, as determined by Internal Revenue Service (IRS) guidelines.

Tuition Assistance is distributed in your scheduled paycheck tax-free.
